Growing Futures Early Education Center, a Head Start nonprofit serving Kansas City families since 1965, switched to DonorDock's nonprofit CRM in late 2025. Within months, the development team had automated its thank-you process, launched a first-time donor journey, and cut monthly gift reconciliation from a couple of hours to about a minute.
Growing Futures has been giving Kansas City-area children a strong start since 1965. Through Early Head Start and Head Start programs, the organization serves children from birth to age five and walks alongside their families with education, health, and family support services.
Behind that mission is a lean development team led by Chris Stibbs, Director of Development. Like most fundraisers at growing nonprofits, Chris and his team wear a lot of hats: individual giving, events, board reporting, volunteer coordination, and the daily work of keeping donor data clean enough to trust.
Less than a year after switching to DonorDock, the difference is hard to miss.
"With DonorDock, we're able to get more accomplished with less time. It has allowed us to be the forward-facing fundraisers we want to be, and not be worrying about what our data looks like."
Chris Stibbs, Director of Development at Growing Futures
Before the switch, a single donation set off a chain of manual work. A gift came in through PayPal or Square. Someone entered it into the CRM by hand. Then a thank-you letter got built in Canva, downloaded, and personally emailed to the donor with a typed-up note.
"It was very fragmented, not streamlined at all."
Every gift lived in one system, every letter in another, and every email in a third. That's the siloed-data trap so many nonprofits know well: the information exists, but no single place tells the whole story of a donor. And every hour spent stitching systems together was an hour not spent with donors.
Now the same moment looks like this: a donor gives online, DonorDock automatically sends a thank-you email, and an automation creates a task to call them within 48 hours and send an update a month later.
"It allows us to focus our time on what matters, and that's stewarding the donor, versus getting stuck in the administrative weeds."
New platforms usually come with a long, painful ramp-up. For Growing Futures, the payoff showed up almost immediately.
"Honestly, it was pretty quickly, probably within a week or two. Everything was so straightforward. DonorDock does so much more than people realize, but it doesn't take a data scientist or a developer to figure out how to pull it together."
What's made the biggest difference for Chris is automations and donor journeys. Growing Futures recently launched its first-time donor journey: a mapped-out series of emails over six to nine months, woven together with personal touchpoints like phone calls and mailed postcards that DonorDock prompts the team to complete.
"We have all these ideas on how we can create journeys and automations and streamline the work. And now we're going in and executing them. We could not do that before."
One favorite example: about two months after a first gift, every new donor gets an email from Carrie in Room 18, one of the organization's teachers. She shares the story of a boy in her classroom and how he has grown at Growing Futures. If the donor replies, it goes straight to Carrie.
"Donors don't want to hear just from me or our executive director. They want to hear from the people on the ground doing the work, and DonorDock is allowing us to tell those stories."
That's what smart stewardship looks like: the platform handles the timing and the delivery, and the humans supply the heart.
Moving email in-house meant Growing Futures could stop paying monthly for a separate email tool. It also meant something more valuable: every donor profile now shows the full history of emails a donor has received and opened.
"I can go to a donor profile and see that Joe has been opening every single email we've sent over the last two years. Or if he's been opening none of them, maybe I need to call him, because we need a different way to connect."
Even one-to-one emails get captured. When Chris emails a donor from his own inbox, he BCCs DonorDock's email tracking address and the message lands on the donor's profile automatically.
"Knowing that email is going to show up in that donor's profile is awesome. I want easy ways to record our activities without taking up my whole day entering them."
The same connectedness runs through giving. Growing Futures builds branded Giving Pages in DonorDock, duplicates them for each channel (social, website, QR codes on mailed postcards), and ties each one to the right fund, campaign, and appeal. When gifts come in, the team knows exactly which channel brought them in, and a signup form on their website feeds new contacts straight into the platform.
"We know that our data is accurate. When I create a campaign link for a QR code on a postcard in our summer mailing, it all ties back: the fund, the campaign, the appeal. A month or two later we can see exactly how it did."
Growing Futures runs events through OneCause, and post-event data entry used to be a dreaded chore: importing gifts, then manually matching addresses, phone numbers, and couples. DonorDock's OneCause integration now carries event gifts straight into clean donor records.
"DonorDock's integration with OneCause is streamlining that process for us. That's amazing, and it's saving us hours of time."
DonorDock has also pulled more of the team into the fundraising picture. Development and finance now reconcile gifts against the accounting system using straightforward DonorDock reports.
"We've been able to take our finance team, our development team, and AI and create a reconciliation process that takes a minute versus a couple of hours."
Reporting is just as fast on the fundraising side. Chris pulls a one-page campaign summary from DonorDock's campaign dashboard for every board meeting, comparing multiple years of an event's growth, average gift size, and gift ranges at a glance.
"I don't have time to spend hours trying to build one report and then hope it's accurate. In DonorDock, it's so easy to build it and start using it right away."
"I've never been part of a CRM where I can get most of my questions answered right away instead of waiting a week or two for support to respond. When I'm on the chat feature, I get an answer like that. The customer service has just been incredible and far exceeded anything I expected."
Chris also loves DonorDock's public feedback page, where customers submit ideas and upvote each other's requests.
"They are so receptive to changes. In the eight months we've been on DonorDock, I've already seen them implement ideas I have had."
Ask Chris what he'd tell a peer who's considering the switch, and he doesn't hesitate.
"I would say run, don't walk to talk to the team. I can't put a price tag on it. DonorDock has been one of the best platforms I've ever worked with, and I've worked with many different CRMs."
His bottom line says it all.
"DonorDock is the tool that lets us not stress about the back-end data work, and allows us to do what we were meant to do: connect with our donors and steward those relationships."
Chris Stibbs, Director of Development at Growing Futures
